InLine Help is more than customizable Tool Tips!
Use InLine Help to reduce your documentation costs and speed the creation of user friendly documents.
Here is how you can do it in 5 easy steps:
1. First go to the entity form that you want to create documentation. In this example we will just do one of the tabs on the form, you can of course do all. Grab a Screen Capture as shown below using a program like Snagit and then number each of the fields on the form. (click on any image to see a larger clearer view)
2. Go to the Tool Tips Entity in CRM. Create a Tool Tips Documentation Advanced Find View with these Columns: Entity Name, Tab, Reference #, Attribute Name and Tool Tip Text. Export this view to Excel.
3. In Excel do a three column sort: Entity Name, Tab, Reference #.
4. Then select the rows that have Tool Tips for the tab you are ready to document. In this case we are selecting the Profile tab of the Account Entity - Only highlight and copy the Reference #, Attribute Name and Tool Tip Text Columns.
5. The final step is to paste the screen shot of the numbered form into a Word document with the Excel table selection pasted underneath it. Add borders to the table in Word to fancy it up. Repeat this process for all the tabs on the form and you are done.
Notes:
1. We have added two attributes to the Tool Tip Entity to facilitate this process - Tab and Reference#. Just use the standard entity customization process to add these two NVARCHAR fields to the entity.
2. You will notice that not every attribute (field) on the form has 'documentation'. Typically in most environments there are many standard fields that don't require special enumeration, i.e. First name, last name, etc. So what you see are the fields that require instructions. However, if you want to document every field on the form simply create a Tool Tip for every field on the form but don't enable the ones that are 'simple' (leave the enable box unchecked).
